Job Title: Office Administration – Renewals, Liquidations & Company Services (Only Female)
Location: DubaiWalk-in interviews
Reports to: Management team
Job Summary:
The Administration will oversee and manage various operational activities related to company renewals, liquidations, amendments, visa renewals, mainland company formations, medical and biometric scheduling, and client communication. This role requires a detail-oriented, proactive, and organized individual to ensure smooth execution of all operations while maintaining excellent communication and service standards for clients.
Key Responsibilities:
Company Renewals & Amendments:
Oversee and manage the timely renewals of companies, ensuring compliance with all relevant regulations.
Coordinate and process amendments within existing companies, ensuring legal and operational accuracy.
Liquidations:
Manage the complete process of company liquidation from start to finish, ensuring compliance with local regulations.
Liaise with legal, financial, and government entities to ensure all liquidation procedures are completed efficiently.
Visa Renewals:
Coordinate the renewal of visas for employees and clients, ensuring all required documentation is submitted on time.
Work with immigration authorities to ensure smooth visa processes and compliance with relevant laws.
Mainland Company Formations:
Oversee and facilitate the formation of new mainland companies, ensuring adherence to legal and regulatory requirements.
Guide clients through the process, including registration, licensing, and documentation.
Scheduling of Medical and Biometric Appointments:
Schedule and coordinate medical and biometric appointments for clients as per visa and immigration requirements.
Ensure timely completion of medical checks and biometric submissions.
Client Communication & Coordination:
Regularly communicate with clients regarding the status of their processes, updates, and next steps.
Provide outstanding customer service, answering inquiries and resolving issues promptly.
Coordination with Tax & Banking Departments:
Schedule meetings with tax advisors and bank account departments to ensure clients’ company and financial needs are met.
Facilitate smooth communication and document exchange between clients and necessary departments.
Documentation and Reporting:
Maintain accurate records of all client files, including renewals, liquidations, amendments, and visa applications.
Prepare regular reports for management on the status of ongoing operations and client activities.
Process Improvement:
Continuously evaluate operational workflows and suggest improvements to enhance efficiency and service delivery.
Skills and Qualifications:
Bachelor's degree in Business Administration, Operations Management, or a related field.
Proven experience in operations management, particularly in company formation, renewals, visa processing, or related fields.
Strong knowledge of local business laws and regulations, especially regarding company renewals, liquidations, and amendments.
Excellent communication and interpersonal skills, with the ability to effectively coordinate with clients and various departments.
Strong organizational and time-management skills, with a keen attention to detail.
Ability to handle multiple tasks simultaneously while maintaining accuracy and meeting deadlines.
Experience in scheduling, customer service, and managing client expectations.
Proficiency in Microsoft Office Suite and CRM systems.
Fluent in English and Arabic (preferred but not required).
